Terms & Conditions
Our goal is to make every NWY ASBAH activity welcoming, safe and enjoyable for everyone.
By using our website and taking part in our events, activities or online groups, you agree to the terms below.
If anything here is unclear, please just ask — we’re always happy to help.
1. Our community values
We believe in kindness, respect and inclusion.
Everyone — children, young people and adults — has the right to feel comfortable and accepted at our events.
2. Using our website
You are welcome to browse our website and contact us.
Please do not use the website in a way that could:
-
Disrupt the experience for others
-
Harm the site or interfere with hosting
-
Send abusive or inappropriate messages
We do our best to keep the site accurate and up to date.
3. Registering for events
When you register for an event:
-
You agree to provide information that is accurate to the best of your knowledge
-
You agree to let us know if anything important changes before the event
-
You only need to complete one form per household — extra attendees can be included together
We may need to contact you about the event (e.g., reminders, updates, changes, cancellations).
We reserve the right to decline or withdraw attendance if safety or behaviour becomes a concern.
4. Behaviour and conduct at events
We want everyone to have a great experience. By attending an NWY ASBAH event, you agree to:
-
Treat other attendees, volunteers, staff and venue personnel with respect
-
Avoid discriminatory, aggressive or disruptive behaviour
-
Follow reasonable safety requests from staff and volunteers
If behaviour is unsafe or distressing to others, we may ask someone to step away from the activity or leave the event.
5. Supervision of children and young people
If you attend with children or young people:
-
You are responsible for their supervision, behaviour and wellbeing
-
NWY ASBAH staff and volunteers are not in loco parentis and cannot provide one-to-one responsibility
Young adults attending independently should let us know if they will need extra support so we can help plan ahead.
6. Medical and access needs
Event information is collected so that we can prepare safely and make reasonable adjustments.
NWY ASBAH staff and volunteers:
-
do not provide medical care
-
cannot administer medication
-
cannot make clinical decisions
If someone becomes unwell, we will contact their parent/carer and call emergency services if needed.
7. Transport
Where transport support is available, it is offered to reduce barriers to participation.
Please note:
-
Transport is not guaranteed and may be subject to capacity
-
Parents/carers remain responsible for supervision during travel
8. Photography and filming
We love sharing the joy and community spirit of our events, but only with consent.
-
We always ask for photo/video consent during registration
-
If consent is not given, we will make sure those individuals are not included
-
You can withdraw consent at any time by contacting us
9. WhatsApp and social media groups
Our online groups exist to help members stay connected.
To keep these spaces safe and supportive, we ask everyone to:
-
Be kind and non-judgemental
-
Avoid sharing others’ personal or medical information
-
Not share screenshots or conversations outside the group
-
Not promote or advertise products/services unless approved
We may remove messages or access if a post or behaviour puts others at risk.
10. Volunteers
Volunteers are a valued part of NWY ASBAH.
By volunteering, you agree to:
-
Represent NWY ASBAH respectfully
-
Support our inclusion and behaviour expectations
-
Maintain confidentiality
We reserve the right to end a volunteering arrangement if behaviour or conduct compromises safety or wellbeing.
11. Cancellations and changes
Sometimes events need to be changed or cancelled due to weather, venue issues, staffing, safeguarding or other circumstances.
We will contact attendees as soon as possible using the details provided in the registration form.
12. Liability
We do everything we can to make events safe and enjoyable.
NWY ASBAH is not liable for:
-
personal items lost, damaged or left unattended
-
injuries caused by disregarding safety instructions
-
supervision of children or young people brought by an attendee
This does not limit any rights you have under UK law.

13. How we use your data
When you sign up as a member or register for events, we collect information so we can contact you about activities, make reasonable adjustments for accessibility, and keep everyone safe. We only share information with Shine where this helps provide support to members. We will only send marketing and event emails such as Connect+ where consent has been given.
